Software for Staffing and Manpower Agencies

ConvertriX builds ERP software for staffing and manpower agencies in India. It tracks every worker deployed across client sites, collects attendance, runs payroll with PF and ESI deductions, produces ECR files for the EPFO and ESIC portals, and raises client invoices from the same attendance data.

Overview

Technology for staffing & manpower

A manpower agency lives on thin margins and a lot of paperwork. Security guards, housekeeping staff, drivers and contract workers are spread across dozens of client sites, each with its own shift pattern, wage rate and billing terms. When attendance comes in on paper or by WhatsApp photo, the office spends days at month-end keying it into spreadsheets, and every error shows up twice: once in a worker's salary and again in the invoice to the client.

Our manpower agency ERP is built around that cycle. You record each client, site and contract with its rates, allowances and statutory components. Supervisors mark attendance on a mobile app or through biometric devices at the site. At month-end the system calculates wages with overtime, PF and ESI, generates payslips, prepares the ECR text files the EPFO and ESIC portals accept, and raises GST invoices to each client based on the same attendance, so payroll and billing always agree.

Compliance is where agencies most often get caught out. Principal employers increasingly ask for proof that PF and ESI were deposited for the workers on their premises, and labour inspections ask for registers in prescribed formats. The system keeps challans, wage registers and attendance records linked to each worker and site, so you can share a compliance pack with a client in minutes rather than assembling it by hand.

Challenges

Problems we hear most often

  • Attendance arrives late and messy

Site supervisors send attendance as paper sheets, photos or voice notes, and the office has to reconcile shifts, leave and replacements before anyone can be paid.

  • PF and ESI filing takes days

Building ECR files by hand for hundreds of workers with changing wages, joiners and exits is slow, and a single mismatched UAN or IP number can hold up a whole return.

  • Billing does not match payroll

When invoices are prepared separately from salaries, clients dispute headcounts and days, and the agency absorbs the difference.

  • No clear view of each site's margin

Without site-level cost and revenue in one place, it is hard to see which contracts are profitable once statutory costs and replacements are counted.

FAQ

Staffing & Manpower: common questions

Can the software generate PF and ESI ECR files?

Yes. Once payroll is processed, the system prepares ECR files in the format the EPFO and ESIC portals accept, using each worker's UAN or IP number and the wages actually earned that month. You upload the file on the portal, pay the challan, and record the challan details back in the system so every deposit is linked to the workers it covers.

How does it handle workers deployed at many client sites?

Each worker is assigned to a client and site, with their own shift, wage rate and allowances. Transfers and relievers are recorded as they happen, so attendance and costs always land on the right site. Reports show headcount, attendance and margin site by site, and you can see at a glance where a post is unfilled or over budget.

Can client invoices be raised from attendance?

Yes, invoices are generated from the same attendance used for payroll. You set each contract's billing basis, such as per head per month, per shift or per day, along with service charges and GST, and the system calculates the invoice. Because both sides come from one record, headcount disputes with clients drop sharply and month-end closes faster.
