Custom ERP Software Development for Indian Businesses

ConvertriX builds custom ERP software that brings finance, inventory, purchase, sales, HR and payroll into one system. It handles GST invoicing, PF, ESI and TDS, syncs with Tally where your accountant still files from it, and rolls out module by module so operations keep running while the new system goes live.

Overview

About our erp software development service

An ERP earns its place when departments stop arguing about whose numbers are right. Purchase raises an order, stores receives against it, accounts books the bill, and the dashboard reflects all three without anyone re-keying data. In most growing Indian businesses that chain is held together by Excel, Tally and phone calls. A custom ERP replaces the gaps with one database, one set of masters for items, vendors and customers, and approval rules that match how your company actually signs off on spend.

Packaged ERPs such as SAP Business One, Odoo or ERPNext are a sensible choice when your processes are close to standard and your team is willing to adapt to the software. We will say so if that is the case. Custom ERP makes sense when the gaps are expensive: job-work and subcontracting flows, batch and expiry tracking, multi-unit plants, dealer schemes, or costing methods that packaged tools only handle through heavy customisation. Custom also removes per-user licences, which matter when you want every supervisor and storekeeper on the system.

Indian statutory work is built in, not bolted on. Invoices carry HSN or SAC codes with correct CGST, SGST and IGST treatment, e-invoice IRN and e-way bills are generated through an authorised GSP, and GSTR-1 and GSTR-3B exports come from the same ledger. The HR and payroll module calculates PF, ESI, professional tax and TDS on salary, with rates held in configuration so a budget change does not need a new release. Where Tally stays as the statutory book, we sync vouchers and masters through its XML interface or ODBC.

What's included

Everything in scope, written down

  • Module and process mapping

Department-wise workshops that produce a module list, document flows, approval matrix and the masters each module depends on.

  • Finance and GST

Ledgers, receivables, payables, bank reconciliation, GST invoicing with e-invoice and e-way bill, and return-ready exports for your CA.

  • Inventory and purchase

Indents, purchase orders, goods receipt, multi-location stock, batch and expiry tracking, reorder levels and stock valuation.

  • Sales and dispatch

Quotations, sales orders, dispatch planning, delivery challans and customer-wise outstanding, linked to the same stock and ledger.

  • HR, attendance and payroll

Employee records, attendance and leave, salary structures, PF, ESI, professional tax and TDS, with payslips and statutory reports.

  • Tally and third-party sync

Two-way sync with Tally via XML or ODBC, plus connections to bank files, payment gateways, barcode scanners or weighbridges.

  • Management dashboards

Live views of sales, stock, receivables and margins by branch or plant, with drill-down to the underlying documents.

  • Data migration and training

Opening balances, item masters and open orders migrated and reconciled, followed by role-wise training for each department.

Process

How the project runs

  1. 1

    Discovery and fit-gap review

We document current flows and compare them against packaged ERPs, so the build-versus-buy decision is made on evidence.

  2. 2

    Masters and data model

Item, vendor, customer, employee and chart-of-accounts structures are agreed first, since every module depends on them.

  3. 3

    Core module release

Usually finance and inventory go live first, running alongside the old process until reconciled figures match.

  4. 4

    Phased module rollout

Purchase, sales, HR and payroll follow in sequence, each tested with the department that owns it before sign-off.

  5. 5

    Cutover and hypercare

Opening balances are frozen, the old spreadsheets are retired, and we stay close through the first month-end and payroll run.

Pricing

How this is priced

ERP work is quoted per project and per phase. Cost is driven by the number of modules, the number of branches or plants, statutory scope such as e-invoicing and payroll, the integrations needed with Tally, banks or hardware, and how much legacy data must be cleaned and migrated. Hosting and GSP charges are shown separately. After a discovery call we send a fixed-scope quote for each phase, so you approve the first module before committing to the rest.

FAQ

ERP Software Development: common questions

Should we build a custom ERP or implement Odoo, ERPNext or SAP Business One?

Implement a packaged ERP if your processes are close to standard and the licence cost works for your user count. Build custom when the gaps are costly, such as job-work, batch costing, dealer schemes or multi-plant flows that need heavy customisation in packaged tools. We run a fit-gap review first and share it with you, so the decision rests on your actual processes rather than on what we happen to sell.

Can the ERP work alongside Tally instead of replacing it?

Yes, and many clients prefer that. Your accountant keeps filing from Tally while operations run in the ERP. We push sales and purchase vouchers, ledgers and stock masters into Tally through its XML interface or ODBC, on a schedule or in near real time. Mapping rules are agreed with your CA up front, so the books in Tally match the ERP without manual re-entry at month-end.

Does the payroll module handle PF, ESI and TDS?

Yes. Salary structures calculate PF and ESI contributions, professional tax by state and TDS on salary based on declared investments. The module produces payslips, ECR files for PF, ESI contribution data and Form 16 inputs. Rates, ceilings and slabs live in configuration, so when the government changes them your HR team or ours updates a setting instead of waiting for a code release.

How do you migrate data from our current spreadsheets and software?

We migrate in stages, starting with masters and then opening balances and open transactions. Data is cleaned first, which usually means merging duplicate items and vendors and fixing inconsistent units. Each import is followed by a reconciliation report against your existing books, and you sign off on it before cutover. The old system stays readable for reference until you are confident in the new figures.

Where is the ERP hosted and who owns the data?

You own the data and the code. We usually deploy to your own AWS account in the Mumbai region, which keeps data in India and gives your IT team direct control, though an on-premise server is possible for plants with poor connectivity. Backups are automated and tested. Handover includes the repository, database schema and deployment credentials, so you are not tied to us to keep the ERP running.
