The useful version of AI in a business is rarely a grand transformation project. It is one high-volume task that eats hours every week, automated well and measured honestly. Typical starting points are pulling fields from GST invoices into your accounts system, classifying incoming emails and form enquiries by product and urgency, answering common customer questions from your own price lists and policies, and drafting replies or reports for a person to check. We automate one workflow, confirm it saves real time, then move to the next.
Human-in-the-loop design is the rule, not an option. Language models are good at reading messy documents and drafting text, but they can be confidently wrong. So every automation has confidence thresholds: clear cases flow through, uncertain ones go to a review queue, and anything touching payments, GST filings, credit decisions or a commitment to a customer is approved by a named person before it is posted. Every action is logged, so you can see what the system did, what a person changed, and why.
Chatbots follow the same principle. A website or internal assistant answers from your own approved content, such as product catalogues, SOPs and FAQs, rather than from the open internet, and it hands over to a person when a question falls outside that content or a customer asks for one. We choose models from providers such as OpenAI, Anthropic or Google based on the task, cost and data terms, and we keep personal data handling in line with the DPDP Act 2023, with sensitive fields masked before they reach any external model.

How this is priced
AI automation is quoted per workflow. Cost depends on the variety and quality of the documents or messages involved, the number of systems the automation must read from and write to, the review and approval steps needed, and the volume it must handle. Model usage is billed by the AI provider based on volume and is estimated separately, so running costs are visible from the start. After a call to review the workflow, we send a fixed-scope quote.

What business tasks can AI automate reliably today?
AI handles tasks well when inputs are messy but the correct output is clear. Good examples are extracting fields from invoices and purchase orders, classifying enquiries and emails, answering questions from your own documents, and drafting replies or summaries for a person to check. It is weaker at decisions needing judgement or context that is not written down, so those stay with your team.
What happens when the AI gets something wrong?
Errors are caught by design rather than by luck. Each result carries a confidence score, and uncertain cases go to a review queue instead of being posted. Sensitive actions such as payments, GST entries or customer commitments always need a person's approval. Reviewer corrections are logged and used to tune prompts and thresholds, so the error rate is tracked and visible over time.
Is our business data safe with AI models?
It can be, with the right setup. We use provider plans and APIs whose terms exclude training on your data, mask personal and sensitive fields before they reach an external model, and keep documents and logs in your own cloud account, usually in the AWS Mumbai region. Access is role-based, and data handling is designed with the DPDP Act 2023 in mind.
Will the chatbot make up answers about our products or prices?
It is built not to. The chatbot answers only from content you approve, such as catalogues, price lists, policies and FAQs, and it is instructed to say it does not know when the answer is not there. In those cases it captures the customer's details and hands over to a person. We test it against tricky questions before launch and review conversation logs after.
